Guidelines

Guidelines for preparation and submission of manuscripts for extended abstracts

 

A. Submission methods

Electronic file submission

When maiking an electronic file submission, upload the file to be submitted via the website. The largest file size that can be uploaded is 3MB.

During the submission period, you can replace files by overwriting them using the same procedure ; please complete any replacement during the reception period. If problems arise with the uploaded files, you may be contacted by the Society or the printing company in charge of the proceedings.

Submissions by e-mail as attached files will not be accepted. If you fail to submit your manuscript before the deadline, your manuscript will not be published in the proceedings.

C. Preparation of electronic files

1. File type

The manuscript should consist of one sheet; PDF file of the manuscript should be submitted.

2. Formating

Please use an A4 sheet (297 mm x 210 mm) for the manuscript. Please download and use the template file of following Word.

1) A Microsoft Word template file for preprints is available at the meeting web site:

Please download and use the template file for preparation of preprints.
・A4 sheet with a portrait page setup with margins of 20 mm (left / right) and 25 mm (top / bottom).
・Font sizes are 12-point (Bold) for a presentation title, 9-point for an abstract, and 10-point for a main text.
・Color pictures/graphs are acceptable, although text should be black in color.
・Only single column format is acceptable.
・Presentation numbers and the copyright information will be added after acceptance by the meeting secretariat.

 

2) Preprints for each presentation in the special sessions should be within 2 pages (please confirm session organizers’ instruction). Preprints for the general sessions limited to 1 page for each presentation.

 

3) Only PDF file is acceptable. Please make a PDF file in accordance with instruction below.

・Each PDF files should be readable and printable using Adobe Acrobat Reader 5.0 and later.
・Each PDF file may not exceed 3 MB.
・Fonts used in the abstract should be embedded to avoid character garbling.
・Please do not add security features to the file.

 

4) Guideline for description.

・The preprints are constructed from presentation title, affiliation(s), name(s) of author(s), abstract,
(50 to 100 words) and main text.
・The presenting author should be indicated by underline.
・A blank line should be added after title, names of authors (affiliations), and abstract, respectively.
・The contact information(e-mail address or facsimile number) of the corresponding author should be inserted after the abstract. If the presenting author is a student, the supervisor’s information would be helpful.
・The abstract and the main text should be separated with a solid line.
・The recommended resolution of pictures and figures is 600 dpi.

・Please use SI units.

 

3. OS and application software for the preparation of PDF files

The use of Windows 2000/Me/XP or Mac OS 9.2 or higher versions is recommended. To produce PDF files, the use of Adobe Acrobat 5.0 or a higher version is recommended.

 

4. Font

Please use the fonts listed below; other fonts should not be used, since the characters may become garbled depending on the type and environment of the computer.

5. Resolution and size of photos and images

A resolution of 600 dpi for photos and images in the manuscript is recommended. Excessively high resolution results makes file size too large. Excessively low resolution results in deterioration of images. Please use monochrome(Black) for maintext.
Please use colors for graphs, etc.,.

 

6. Confirmation of prepared PDF file

Before submission, please confirm that the prepared PDF file has been reproduced as you intended, using PDF viewing software.

 

7. File type

Please submit a PDF file. (To Mac user, do not forget to add the extension ".pdf" to the file name)

Presentation Style

For oral presentations in all sessions, 15 minutes will be allotted for each paper.
LCD projector, a screen and a pointer are equipped in each room.

Instructions for Oral Presentations

A seat will be provided for the next speaker. Please be sure to be seated there when the presentation preceding yours starts. If you plan to use a liquid crystal display (LCD) in your presentation, connect your PC to the monitor switch and switch to the video output mode in advance.

Please review the following carefully to ensure your readiness and avoid problems.

A. Presentation Time

Twenty minutes total (general presentaion). (time for guest presentation and the question-and-answer period will differ depending on the session in which you participate. )

B. Equipment and Materials

  1. The Ceramic Society of Japan(CerSJ) will provide the following:
    LCD, connection cables (mini D-sub 15-pin terminal (male)), monitor switch, AC power for PC (table outlet).
  2. Presenters should prepare the following.
    If you plan to use the LCD: A PC (with mini D-sub 15-pin video output terminal (female)) and a connection adaptor if your PC is not equipped with a mini D-sub 15-pin terminal (female), particularly if you use an ultrathin laptop computer or a Macintosh.
  3. A preview room will be available.
    Presenters can prescreen their files in advance of their presentation. Please note that the projector in the preview room may not necessarily be of the same type as that in the conference room.

C. Flow of Preparation and Presentation

“Switch output mode to external video output” -->
”Select your video output” -->
”Give presentation” -->
“Disconnect cables from PC upon completion of the presentation”

D. Points to be checked

  1. Please check how to change the your PC screen output mode to external video output in your PC operating manual. The procedure for Windows and Mac OS differs, and also it depends on your PC model and OS version.
  2. Please check the screen resolution of your PC (XGA, SXGA, SXGA+, WXGA, etc). The LCD projectors used in the meeting can display up to XGA (1024 x 768 pixels). SXGA or higher resolution and WXGA for wide displays may not be displayed properly.
  3. Please familiarize yourself with the operation of the presentation software (such as PowerPoint).

E. Notes

  1. The society will not provide PCs for presentations. (The organizer may provide them.)
  2. You are responsible for all operations, including connecting your PC to the monitor switch and selecting your video output.
  3. As a seat for the next speaker will be provided, please be sure to be seated there before your turn and be ready for your presentation.
  4. The monitor switch installed by the society has four cables, enabling you to set up your connection during the three presentations prior to yours. Please allow enough time for preparation.
  5. Please be aware that some types of PC (including some with a Macintosh) do not recognize the video output mode unless the LCD connection is made before the PC is started up.
  6. There will be no audio connection.
  7. Please turn off all sound from the PC during preparation and presentation.
  8. Please check that there is sufficient PC power and deactivate the power-saving function so that your PC will not shut down during your presentation.
  9. No extension of your presentation time due to problems with your PC will be allowed. Please also bring USB fiash media sheets for your presentation in case you have problems with your PC.
  10. Please disconnect the cables from your PC immediately after your presentation.

  3. Only the presentation number will be marked on the board. Please put your poster up in the designated place.
  4. Thumbtacks should be used. (Do not use magnets.) CerSJ will provide the thumbtacks.
  5. Removal time: CerSJ will dispose of all posters remaining after removal limit time indicated above table.
